What is CSV File?

CSV file refers to as Comma Separated Values file. These files are a plain text file that includes the list of data. CSV files are often used for exchanging data between various programs. For instance, databases and the contact managers generally hold back the CSV files, which may often be called the Character Separated Values or Comma Delimited Files.

                      CSV Files mostly uses the common character to separate data, but sometimes they use other characters such as Semicolons. This is done because of the idea that you can export the complex data from one application to another CSV file and then import the same data in the same CSV file but in another program.

Structure of CSV File

CSV file has a very simple structure.

  • It is simply a list of data that is separated by the commas.
  • At times CSV files can be more complicated and can include thousands of lines, more entries on each of the lines, or long strings of text.
  • Some of the CSV files may sometimes not even have the headers at the top, and some of them may use quotation marks to surround each bit of the data, which is a basic format of the CSV file.
  • CSV files are created to be the way to export the data and then import it into another application. As a result, the data is human readable and can be easily opened with the text editors such as Notepad or a Spreadsheet application.

Method 1: Steps to open CSV file in Excel

If you have created a CSV file in another application, you can still open that file as an Excel Worksheet in a normal method using the “Open” button.

  • With the Microsoft Excel open, head over to the File button and then click on the “Open” command.
  • The Open dialog box will then appears and then select the Text Files (*.prn,*.txt,*.csv) from the drop-down list in the extremely lower right-hand corner.
  • Browse your CSV file and then open the file just by double-click on it.
  • If you want to open a CSV file, Excel will open it straight away and display the data in your new workbook.
  • If you have selected the text file (.txt), Excel will start
  • the Import Text Wizard.

Method 2: Open CSV file by using Windows Explorer

It is the fastest method to open the CSV file in Excel. In Windows Explorer, double-click on the CSV file and then open the file as a new worksheet. This method only works when you have the Microsoft Excel set as the default application for CSV files on the computer. When Excel is not set as the default application, you can set it in this manner.

  • Right-click on any CSV file in Windows Explorer, and then select the “Open with” command and then choose the default application from the context list.
  • Click on the Excel on the desktop under Recommended Programs, and click on the “OK” tab.

Method 3:- Steps to import CSV file to Excel

Using this method can import the CSV file data into the existing or a new worksheet. 

  • With the required spreadsheet, open and then click on the cell where you wanted to import the data from a CSV file or TXT file.
  • In the Get External Data group, click on the  “From Text” command on the Data button.
  • Search for the CSV file that you want to import and then select the file and click on the Import button.
  • The Text Import Wizard will then appear immediately, and you will have to follow these simple steps.

Step 1:

Choose the type of file and the row number to import the data. Normally, you select the Delimited and row 1, respectively. In the lower part of the wizard, the preview window displays your CSV file’s first few entries. Choose the file type as well as row number to import the data from CSV to Excel.

Step 2:

You can select a delimiter and the text qualifier. The delimiter is the character that separates the values in the CSV file.

Step 3:

When you are satisfied with the Data preview, just click on the Finish button. Then select the destination folder for the imported data, either in an existing worksheet or a new worksheet, and then tap the “OK” button to finish importing your CSV file to Excel.
